The spine every format shares

Discovery, creative response, production plan, supplier lock, rehearsal, delivery, debrief. The variable is not the sequence, it is how much time each stage needs and how many technical departments run in parallel.

Three documents carry the project: the run sheet with cues and owners, the supplier matrix with contacts and call times, and the risk register with mitigations. If those three are current, the event is under control.

AGMs and shareholder meetings

Accuracy dominates. Registration must reconcile to the share register, quorum reporting must be live, and voting, whether by poll, handset or platform, must be auditable. Hybrid attendance is now standard, which means a stable stream and a moderated Q&A channel.

Timeline: eight to twelve weeks. Crew: producer, registration lead, AV supervisor, stream engineer, vote operator, floor manager. Rehearsal: full technical rehearsal the day before with the company secretary present.

Product launches

Launches are creative-led and press-sensitive. The reveal mechanic, whether kabuki drop, LED sequence or physical unveil, drives the entire technical spec, so lock it early.

Timeline: six to ten weeks. Crew adds a creative director, content producer for the launch film, photographer and video crew for same-day cuts, and a press handler. Build a media holding area with power and connectivity, and brief spokespeople against a written Q&A.

Conferences and summits

Multi-day conferences are logistics engines: delegate registration, badging, breakout rooms, speaker management, interpretation, catering flow and a hybrid stream that has to survive three days. Speaker wrangling is a dedicated role, not a side task.

Gala dinners and awards

Show pace decides the night. Awards run long when the citation reel, the trophy handover and the photo moment are not choreographed to a fixed per-award clock. Build the reel in advance, rehearse the walk-on path, and station a stage manager on each wing.

Timeline: six to eight weeks. Watch table plans, dietary requirements and the interaction between service timing and the show, because a plated main course during a keynote ruins both.

Staff days, town halls and team retreats

Internal events are judged on participation, not polish. Design for interaction: shorter plenary, structured breakouts, live polling, and a facilitator who can hold a room when leadership runs over.

Timeline: four to six weeks. Keep the technical footprint light so the room stays flexible.
