Development sector events in Kenya run on a different logic to commercial ones. The audience is often multilingual, the budget is restricted by grant line, the procurement is competitive by rule, and the reporting obligation continues long after the last delegate leaves. This guide covers what changes when the funder is a donor rather than a marketing department.

Most donor grants require three comparable quotes or an open tender above a threshold. The common failure is a scope so vague that the three quotes are not comparable, which forces a re-tender and burns four weeks you did not have.

Fix it by specifying quantities: delegate numbers, room nights, interpretation language pairs and booth counts, screen sizes, number of breakout rooms, days of rehearsal. Ask for a fixed management fee and pass-through costs at cost with receipts.

Map every line to a grant budget code before you commit. Keep per diems, transport reimbursements and venue costs in separate ledgers, since donors frequently cap them differently.

Insist that the agency issues one consolidated invoice with supporting supplier invoices attached. Cash payments to suppliers on event day are the single most common audit finding, so agree a petty cash ceiling in writing and require receipts for everything above it.

Regional convenings in Nairobi routinely need English, French, Swahili, Portuguese and sometimes Arabic. Simultaneous interpretation requires ISO-standard booths, two interpreters per language pair per day, technician support and receivers issued against ID.

Budget for interpretation early. Retrofitting it two weeks out doubles the cost and rarely finds the right accredited interpreters for technical subject matter.

Events outside Nairobi, in Kisumu, Nakuru, Garissa, Kakamega or Turkana, change the risk profile: generator dependency, fuel logistics, connectivity for hybrid streams, crew accommodation and vehicle movement plans.

Build a movement plan with departure times, vehicle assignments, driver contacts and a check-in protocol. Where a security policy applies, share the plan with the programme's security focal point before travel, not on the morning.

Confirm step-free access, accessible washrooms, sign language interpretation where the audience requires it, and reserved seating with sight lines to the interpreter. Publish the accessibility provisions in the invitation so participants can tell you what they need.

Apply your safeguarding and photography consent policy to the event: consent for images, a named focal point on site, and a clear reporting route. Include it in the agency contract rather than assuming it.

Participant data in Kenya falls under the Data Protection Act. Collect only what the event needs, state the purpose at the point of registration, restrict who can export the list, and delete or archive it on the agreed schedule.
