This guide is about Nairobi specifically: the traffic, the venues, the power, the permits and the load-in windows that decide whether an event is calm or chaotic. Nairobi is a compact production market. Roughly the same crews, riggers and generators circulate between venues, so what distinguishes agencies is scheduling discipline and relationships, not access to secret suppliers.
Start from the venue, not the agency
Your format sets the venue class, and the venue sets the production constraints. A plenary of 800 in a hotel ballroom has rigging points and a service lift; a launch in a converted warehouse in Industrial Area has neither and will need ground-support truss and a generator.
Ask each candidate agency to describe the load-in for your preferred venue from memory. Producers who have worked the room will tell you the lift dimensions and the earliest hour security lets trucks onto the ramp. Brokers will promise to find out.
The traffic question is a production question
A 07:30 registration on Waiyaki Way is not the same event as a 07:30 registration in Karen. Crew call times, delegate arrival curves, courier windows for printed material and the timing of a hot buffet all shift with the road.
Good Nairobi producers build the run sheet backwards from the road, staging deliveries the night before wherever the venue allows overnight storage.
Power, sound and the neighbours
Confirm who supplies the generator, who supplies the changeover, and whether the venue's house power can carry LED plus lighting plus catering at once. Ask for the load calculation in writing.
Outdoor and garden venues around Nairobi frequently carry noise curfews. Confirm the cut-off before you book a live band, not after.
Questions that separate producers from brokers
Who is on the floor from your team, and what else are they running that week? What do you own versus hire? Show me a run sheet from a comparable event with names and cues, redacted as needed. What went wrong on your last three events, and what changed afterwards?
That last question is the most useful one in the set. Any agency with volume has had a failure. Only the mature ones can describe the fix.
Narrowing to three
Three is the right number: enough to compare pricing structure honestly, few enough that each agency invests real thought in the response. Beyond three, quality of response drops because the win probability does.
Give all three the same brief document, the same deadline and the same budget band. Withholding budget produces theatre, not comparable proposals.
